How to Make AI-Written Emails Sound More Natural

Make follow-ups, refusals and customer replies clearer without changing their deadlines, promises or tone. Start with the job the email needs to do.

Jump through this guide

Decide what the reader needs to do

Before changing tone, write a one-line description of the email’s job: confirm a date, request a decision, decline an invitation or explain a problem. That job determines what belongs in the first sentence.

Keep context the reader needs, but avoid making them search through a long introduction for the request. A friendly opening is useful when it reflects the relationship; a stock paragraph can make a short message harder to read.

For a sensitive message, remove private customer information before submitting it to an online writing tool. Use placeholders consistently, then restore the correct details yourself.

Three emails, three different editing decisions

These are original editorial examples. They demonstrate revision choices, not guaranteed model responses. Test your own draft and keep the wording that fits your relationship with the recipient.

1. A follow-up that makes the next step easy

Draft

I am writing to kindly follow up regarding the proposal that was sent on Monday. It would be greatly appreciated if you could provide your feedback by Thursday so that we may proceed with the next steps.

Editorial revision

Have you had a chance to review the proposal I sent on Monday? Please send your feedback by Thursday so we can plan the next step.

What to check: Monday and Thursday still refer to the same events. The rewrite does not imply the recipient has already agreed. If the deadline is flexible, say so rather than making the request sound more demanding.

2. A refusal without a false promise

Draft

We regret to inform you that we are unable to accommodate the requested delivery date of October 20. However, we would be delighted to explore alternative arrangements subject to the availability of our production team.

Editorial revision

We cannot deliver by October 20. I can check alternative dates with our production team, but I cannot confirm a new date yet.

What to check: The original date is still unavailable. No replacement deadline has been invented. Add a response date only if you can actually meet it.

3. A customer reply with a bounded commitment

Draft

We sincerely apologize for the inconvenience you have experienced. Your request has been escalated to our technical team, and we will provide an update within two business days.

Editorial revision

I am sorry you ran into this problem. Our technical team is reviewing your request. We will send an update within two business days.

What to check: An update is not a promised fix. Keep ‘business days’ and confirm the escalation actually happened before sending. Natural wording must not create a stronger service commitment.

Edit the passage where you are working

  1. Install the UltraHumanizer Chrome extension and connect your existing account.
  2. Select the passage and open the right-click action, or paste the text into the panel if the editor does not expose the selection.
  3. Choose a tone for the relationship. Professional is a useful starting point for a formal message; Conversational may suit an established colleague. Neither replaces your judgment.
  4. Run Humanize and compare the revised request, dates and promises with the source.
  5. Copy the result, or use Replace for a supported editable selection. Check the full message again in your email editor.

Browser-protected pages and some embedded editors restrict selection or replacement. The extension does not send the email. Review the recipient, subject and attachments yourself before choosing Send.

On the website, you can also carry a completed result into Grammar Checker or compare the original and revised wording with Text Compare.

Read it as the recipient

  • Can the reader find the request without rereading?
  • Is the tone appropriate for this relationship?
  • Are names, dates, prices and commitments unchanged?
  • Does a polite sentence hide an unclear action?
  • Have you accidentally promised a fix when you meant an update?

Some repeated phrases are perfectly useful. Do not remove a greeting, apology or necessary context just because a writing tool flags it. If the draft feels padded, review its repetitive or vague wording and decide which suggestions help.

Frequently asked questions

Questions, answered.

Should every professional email sound casual?+

No. Match the relationship and purpose. A customer apology, a contract update and a friendly follow-up need different levels of formality. Clear wording does not require slang.

Can I rewrite an email inside my browser?+

The UltraHumanizer Chrome extension can open selected or pasted text in its side panel. Use Copy when the page does not support replacing the selected editable text. Browser-protected pages and some embedded editors restrict access.

Will the tool send the email?+

No. Rewriting does not send an email. Review the result, copy it into your email editor or replace a supported selection, and decide whether to send it yourself.

Are these examples measured model outputs?+

The before-and-after pairs in this guide are editorial examples written to explain the review process. They are not benchmark results or a promise of the wording a model will generate.
